Security

Users

All individuals that use Radix DM must be added to the system through this component of Radix DM Administration.  Each user's workgroup and user category membership can be modified to meet an organisation's security and data requirements.  

 

To access users in Radix DM Administration, click on the Security Navigation Tab and the Users Menu Item.

 

Every user has the following:

User Name: The Windows logon name of the user.

Initials: The first letter of the user's first name and the first letter of the user's surname.  If there is more than one user with this initial combination, you may add a middle initial to further differentiate between them.

Full Name: The user's first name and surname.

Email Address: The organisation email address for this user.

User Type: The user type "User" designates this individual as a general purpose user with no special rights or privileges.  Most users in Radix DM will have this user type.  Permission to access Radix DM Administration is only provided to those users with the "Administrator", "Sub-Administrator" or "Content Administrator" user types.  "Administrators" have full access to all parts of Radix DM Administration. "Sub Administrators" can access all parts of Administration except for those that relate to users, workgroups and user categories.  The "Content Administrator" has permission to only edit existing fields, which is useful when list of value fields must be amended.  "Non-Users / Disabled" users are those who can be referenced within Radix DM but are either no longer currently licensed users or are not members of the organisation.  These users cannot use Radix DM in any way and do not count towards the number of licensed users. 

Default Library Group:  All documents saved by this user will automatically be assigned to this selected library group on the Document Save window when the document is first saved.  This library group can then be changed if required.

Location: The location specified will enable the user to find the files required when an update is performed.

Workgroups: All workgroups in Radix DM are listed in this grid.  Selecting the check box at the beginning of a row will add this user to that workgroup.  Deselecting the check box at the beginning of a row will similarly remove this user from that workgroup.

User Categories: All user categories in Radix DM are listed in this grid.  Selecting the check box at the beginning of a row will add this user to that user category.  Deselecting the check box at the beginning of a row will similarly remove this user from that user category.

Workgroups

It is often necessary to restrict the rights of different users to documents.  This is achieved by creating workgroups, assigning users to these workgroups, then designating the permissions these workgroups have for each library group.  All users that belong to a workgroup with a given set of permissions will only have the ability to perform that specified set of actions with documents in that library group.

 

To access workgroups in Radix DM Administration, click on the Security Navigation Tab and the Workgroups Menu Item.

 

Every workgroup has the following:

Name: The name of the workgroup as used within Radix DM Administration.

Auto Sync Windows Group members on startup: If this is checked, then the members of this workgroup are synchronised to mirror users in Windows Group when Radix DM starts.

Windows Group: This is the Windows Group that will be used if the option Auto Sync Windows Group members on startup is checked.  To immediately update the members of this workgroup to mirror those of the selected Windows Group, click Sync Now.

Email Address: This is an optional field that allows an email address to be associated with the members of this group. 

Users: All users in Radix DM are listed in this grid.  Selecting the check box at the beginning of a row will add that user to this workgroup.  Deselecting the check box at the beginning of a row will similarly remove that user from this workgroup.

Library Groups: All library groups in Radix DM are listed in this grid.  When a library group is first created, the default permission for the library group for all workgroups is set to "No Access" so as to enforce a default base level of security.  Click on Access Level to modify the permissions for the library group on the row you have selected.  The various security permissions are: 

"No Access": Users cannot save, read, delete or modify documents in this library group.

"Read Only": Users cannot save, delete or modify documents in this library group.

"Read + Save": Users cannot delete or modify documents in this library group.

"Read + Save + Modify": Users cannot delete documents in this library group.

"Full Access (R + S + M + D)": Users can perform all operations on this library group.

User Categories

User Categories are used to create customised groups of users.  This allows the value of a user field for all documents to be restricted to members of a predetermined list.

 

To access user categories in Radix DM Administration, click on the Security Navigation Tab and the User Categories Menu Item.

 

Every user category has the following:

Category Name: The name of the user category as used within Radix DM Administration.

Users: All users in Radix DM are listed in this grid.  Selecting the check box at the beginning of a row will add that user to this user category.  Deselecting the check box at the beginning of a row will similarly remove that user from this user category.
