Radix DM Date Field Reminder

The Radix DM Date Field Reminder program is used to schedule the automated sending of emails to a specified group of users based on the value of a date field within Radix DM.  For example, a firm might save contract documents with a number of fields, including one called Expiry Date.  The Radix DM Date Field Reminder program could then alert users who decide they would like to be reminded of the ending of contracts three months before the expiry date is due to occur.

 

To start using the Radix DM Date Field Reminder, simply select Start > Programs > Radix DM > Radix DM Date Field Reminder from the Start Menu.

 

When the program has started it will resemble the following:



Menu Options

Open Configuration: Browse to a Radix DM Date Field Reminder configuration file to load the saved values into the program.

Save Configuration: Save the configuration details that have been selected to the file specified in Configuration Path.

Save Configuration as new file: Browse to a new file to which to save the configuration details that have been selected to the file specified in Configuration Path.

Create Commandline Shortcut: This command creates a new shortcut to the program (with an optional parameter to the specified configuration file) which can be saved.

Using the Program

The values specified in this section determine how the program will run.


User Category: This specifies the set of users who will be emailed when the Radix DM Date Field Reminder sends out reminder emails.  Once a user category has been chosen, information about users in that user category will appear in the Preview and Send Emails tab.

Date Field: This is the Radix DM date field that is used to compare against the current date to determine if a reminder should be sent out.

Library Group/s: Only documents that exist in the selected library groups will be checked to see if they possess a date field value that meets the selection criteria.

Future Days Limit: If a document in the selected library group(s) has a value of Date Field that is less than the date that the Radix DM Date Field Reminder is run plus this many days, it will be included in the reminder email.

Past Days Limit: If a document in the selected library group(s) has a value of Date Field that is greater than the date that the Radix DM Date Field Reminder is run minus this many days, it will be included in the reminder email.

Include all Past Due: If this check box is ticked, any document in the selected library group(s) which has a value of Date Field that is less than the date that the Radix DM Date Field Reminder is run will appear in the reminder email that is sent.

Mail Subject: The subject of the reminder email that is sent to all users in User Category.

Mail From: The email account from which the reminder emails are sent.

Mail Server: The name of the email server which is used to send the reminder emails.

Configuration Path: If the Save As button is clicked (or the current configuration is saved through the File menu) then this is the name of the configuration file that these details will be saved to.

Save As: Click this button to save the current details to the configuraton file specified in Configuration Path.

Preview and Send Emails Tab

Once a User Category value has been set, a list of users to whom emails will be sent appears in the Preview and Send Emails tab under the label Email Recipients with the following information for each user:


ID: The User ID of the user to whom the email will be sent.

Logon: The Windows logon of the user.

Full Name: The full name of the user.

Email Address: The email address associated with this user.

 

If the Preview Results button is clicked, a list of documents that match the criteria specified will be displayed under the label Preview Email Content.  Each document will list the following information:

DocID: The Radix DM ID of the document.

DocVersionID: The version number of the document.

Title: The title of the document.

Extension: The extension of the document.

DateValue: The date value for the field specified in Date Field.

DaysBeforeDue: If the value of DateValue is after the current date, then this column will show the number of days between the current date and the value of Date Value.  If DaysBeforeDue is negative, then DateValue occured this many days before the current date.

 

Send Email:  Click this button to immediately send a reminder email to all the users in the selected User Category.

Running as a Scheduled Task

The Radix DM Date Reminder is designed to be run as a scheduled task.  Users select the settings that they would like to associate with a specified reminder and then save the associated configuration details in a file. 

A scheduled task can then be created with the following details which are also specified on the the tab Command Line Parameters:

Command Line Arguments
 
/CONFIG="path"

The path to the configuration file to be used by this scheduled task.  If this command line argument is omitted then the default configuration file that exists in the same folder as the executable process is used.

/A

If this argument is used, the programs runs automatically and closes when it is complete.
