This button creates a new blank search tab and switches to it.  The current user’s default library groups (if any will be selected).  More information about simple searches can be found in the section Simple Search.

 

This button creates a new blank search tab and switches to it.  The current user’s default library groups (if any will be selected) and the Advanced Search screen will appear.  More information about criteria searches can be found in the section Criteria Search.

 

This option reruns the search for the current tab, refreshing the Search Results Grid.

 

Search – Clear

This option clears the search for the current tab, clearing the Search Results Grid.

 

My Searches – My Recent Documents

This button performs a predefined criteria search that lists all documents that have been saved recently into Radix DM by the current user.  This list is updated each time a document is saved using the Document Save window.  This search can be run to cover the last seven days (by default) or 14, 30, 60 or 90 days.  If a document has been saved or modified in some other way, it may not appear in the list until the Radix DM Crawler program has run and processed the file.   More information about the Radix DM Crawler can be found in the section File Options - Additional - Start Crawler.

 

My Searches – My Deleted Documents

This button performs a predefined criteria search that lists all documents that have been deleted from Radix DM by the current user.  Keep in mind that these documents remain in the system until they have been purged by a Radix DM Administrator using the File Options - Purge All Deleted Files or File Options - Delete Permanently functions.

 

My Searches – My Recent Activity

Clicking this option brings up the Document History dialog as below:

 

In this dialog, users can see information about documents and all the operations that have been performed on them by the current user, similarly to the Use - Show History function.  The range of documents that can be viewed can be selected and restricted by values specified in the fields Date FromDate ToLibrarygroup/s and Audit Events.  Setting any number of these fields and clicking Search will refresh the auditing information visible.

 

Operations – Open

This option opens the document with the default program for files with the document's extension for viewing and/or editing.

 

Operations – Duplicate and Open

This option first copies the selected document (preserving all information), saves it into Radix DM (giving it a new Document ID) and then opens the document with the default program for files with the document's extension for viewing and/or editing.  All documents created with this function will not use Document Versioning.

 

Operations – Modify

This option will bring up the Document Save window and allow the user to change related Radix DM data before resaving it.  If more than one document is being modified, users will be presented with a special wizard to guide them through the process of modifying more than one document at the same time.  This process is detailed in the section Bulk Modify.

 

Operations – Delete

This option is only available for documents that have not been deleted.  This option marks the document as deleted, removing it from search results.  These documents remain in the system until they have been purged by a Radix DM Administrator using the File Options - Purge All Deleted Files or File Options - Delete Permanently functions. 

 

Operations – Move

This option allows user to migrate documents from one location to another.

 

Operations - Copy File/s Location

This option will copy the physical location of selected document to the clipboard.

 

Operations - Copy File/s

This option will copy the selected document to the clipboard.  This file has the naming format matching the corresponding selection: 'Title + Doc ID', 'Title', 'Doc ID' or 'Doc ID + Title'.

 

If the operation is valid for the document, this option will open a copy of the document as a new file.  This new file has no connection to the saved document besides its contents and must be saved into Radix DM like any new document.

 

Use – Save as PDF

If the program PDF Creator has been installed on your system, this and all other PDF options will be available for users.  This option will copy the currently selected document, converting it to a PDF.  This new file has no connection to the saved document besides its contents and must be saved into Radix DM like any new document.

 

Clicking this option brings up the Document History dialog as below:

In this dialog, users can see information about the document and all the operations that have been performed on it and by whom.

 

Versioning – New Version

This function can only be performed on a single file that has Document Versioning enabled.  The user will be presented with the Document Save window and allowed to change related Radix DM data before saving a new version of the selected file.

 

Versioning – Show All Version

This button performs a predefined criteria search that lists all documents with the same Document ID as those selected, including all versions of those documents.

 

Email – Email as Attachment (Zip)

This option will launch Microsoft Outlook if not already running and then create a new email.  This email will be blank but will contain the selected file as a zip file attachment.  This attachment has the naming format 'Title + Doc ID'.

 

Email – Email as PDF

If the program PDF Creator has been installed on your system, this and all other PDF options will be available for users.  This option will launch Microsoft Outlook if not already running and then create a new email.  This email will be blank but will contain the selected file which has been converted to a PDF as an attachment.  This attachment has the naming format 'Title + Doc ID'.

 

Email – Email as Link (RDM)

This option will launch Microsoft Outlook if not already running and then create a new email.  This email will contain the title of the selected document in the body and a link to the file that can be clicked by anyone who uses Radix DM.  This link has the format 'rdmdocid:Doc ID'.

 

Email – Email as Attachment (Files)

This option will launch Microsoft Outlook if not already running and then create a new email with the selected file as an attachment.  This attachment has the naming format matching the corresponding selection: 'Title + Doc ID', 'Title', 'Doc ID' or ' Doc ID + Title'.

 

Check-In/Out – Check In

Clicking this option brings up the Document Check In dialog as below:


This function allows users to check a document back in, freeing it so that it can be edited by any user.  Browse to the file that you would like to check in by clicking on Browse.  The success of the operation for each file is shown in Status.

 

Check-In/Out – Check Out

Clicking this option brings up the Document Check Out dialog as below:


This function allows users to check a document out, locking it so that other users cannot overwrite it in Radix DM without it first being checked in by the user who checked it out.    Determine the location where the document will be checked out to in the text box Checkout Location.  Select a format for the names of the documents when they are exported from the option list Exported Document Names.  The success of the operation for each file is shown in Status.

 

Check-In/Out – Show Checked Out

This button performs a predefined criteria search that lists all documents in Radix DM that have been checked out by the current user.

 

Export – Export Search Results

Users can export the results of the search to a file for later review.  This file appears in a Print Preview Window from which it can be exported to a file in any number of formats including text, PDF and CSV.

 

Export – Export Documents

This option exports one or more documents from Radix DM.  Clicking on this option will bring up the Export Documents dialog as below:


Select a format for the names of the documents when they are exported from the option list Exported Document Names.  Users can choose to export only some of the documents returned from a search, if so select those documents in the Display Pane before exporting documents and then choose the option Selected Items Only from the option list Documents to Export.  To export all documents instead, choose the option All Items in View.  Finally, determine the location where the documents will be exported in the text box Export Folder Path.

 

Export – Zip and Export

This option exports one or more documents from Radix DM, storing the results in a Zip file with a name and location of the user's choice.  Clicking on this option will bring up the Export Documents dialog as below:


Select a format for the names of the documents within the Zip file when they are exported from the option list Exported Document Names.  Users can choose to export only some of the documents returned from a search, if so select those documents in the Display Pane before exporting documents and then choose the option Selected Items Only from the option list Documents to Export.  To export all documents instead, choose the option All Items in View.  Finally, determine the location where the documents will be exported in the text box Zip File Path.

Skins – Skins

Users can customise the appearance of the client through the selection of a predetermined colour theme.  To change the default colour theme, select a new theme from the dropdown list.

 

Results… – Grid Column Order

This option allows users to customise documents search results in Radix DM.  Clicking on this option will bring up the Grid Column Visibility Order dialog as below:


This dialog lists all fields available in all library groups available to this user.  To toggle a field's visibility in the Search Results Grid, check the box Visible.  The default width of the field for all searches can be modified in the column Default Width.  The order of a selected field in the Search Results Grid can be modified by clicking the arrow buttons up and down to move the field.

 

Search – Save Layout as Default

This option fixes the layout of aspects of the Radix DM Search Window only, including the dimensions of the program and the size and location of the Preview Pane.  It is important to note that this option in no way influences the order or dimensions of columns visible in the Search Results Grid.  The best way to achieve this is to alter column widths and order using either the Results… – Grid Column Order or the Save Current Column Widths functions.  To then apply these setting to all users, use the function in Radix DM Administration.  More information about administration functions can be found in the Radix DM Administration User's Guide.

These operations are only available to Radix DM Administrators.  If the current user has not been given Radix DM administrative rights, then this tab will not be visible.  More information about administration functions can be found in the Radix DM Administration User's Guide.

 

This button performs a predefined criteria search that lists all documents that have been deleted from Radix DM.  Note that these files are not permanently removed from Radix DM until they are purged through either the File Options - Purge All Deleted Files or File Options - Delete Permanently functions.  Documents that have been deleted can be restored through the UnDelete function.

 

This button performs a predefined criteria search that lists all documents that are saved in Radix DM that have been identified by the Radix DM Crawler as no longer existing in the appropriate physical file location. 

 

This button performs a predefined criteria search that lists all documents in Radix DM that have been checked out by any user.

 

This button permanently deletes all documents that have been marked as deleted from Radix DM.  Please be careful using this function, it cannot be undone.

This button brings up the Radix DM Crawler dialog as below:

The Radix DM Crawler is a program used by Radix DM to ensure that information about documents stored in the system is accurate compared to the file information on the physical disk.  While this program is often set to run as a scheduled task in Microsoft Windows, it can be run manually at any time by using this function.  Choose whether to run the process against all Locations and Library Groups or only those specified in the Locations and Library Groups dropdown lists.  Sometimes files that do not exist in Radix DM can appear on the disk, or documents can be found on the physical disk that do not exist in Radix DM.  Checking the box Move files to quarantine will move these files to a specified folder for checking by a Radix DM Administrator.  More information about administration functions can be found in the Radix DM Administration User's Guide.  Click Process to run the Radix DM Crawler for the specified locations and library groups.
