How to Search…

Users can search for, modify and perform operations on any document that has been saved into Radix DM.  Double-click on the Radix DM Grabber to bring up the Radix DM Search program.  When the Radix DM Search program is launched, the program will resemble the following:


There are two types of search available from within the Radix DM Search program: Simple Search and Criteria Search.  References to numbers in the following topics will relate to these images.

Simple Search

The easiest way to search for a document is to perform a Simple Search.  A simple search is performed by entering a term that could be in any number of fields across any number of selected library groups. 

 

The steps to perform a simple search are:

1.  Enter the term or terms to search for in the Search Bar box at 1.  If you enter more than one term here, you will be searching for documents that match ALL the terms in that sequence.  Note that if you leave this section blank, you will automatically search for all documents in the selected library groups (see Step 3).  If you would like to search within Document Text only, then check the box.

2.  Choose whether the search term you would like to search for exists at the beginning, the end or anywhere within the value of the field at 2.  The default "Begins with" will satisfy most search requests.

3.  Select one or more library groups to perform this search on from the list Library Groups presented at 3.  Right-clicking in this section allows users to Check All or Uncheck All.

4.  Click Search at 4.

5.  The list of fields that result in a match for the search term(s) are listed in the section Fields With Results at 5. To see all the found documents for a given field, click on the name of that field.  This will display a list of all the documents where the selected field has a value that contains the search term(s) in the Display Pane at 6.

6.  The documents in the Display Pane can be viewed and used in a number of ways and their contents previewed in the Preview Pane at 7 where applicable.

Criteria Search

A more advanced form of searching is called Criteria Searching.  A criteria search allows users to specify a number of fields and values for each of these fields.  This gives greater flexibility and power in terms of specific search results.

 

The steps to perform a criteria search are:

1.  Click the button Criteria Search button at the top left of the screen.  The Advanced Search screen will appear, resembling the following:



2.  Select one or more library groups to perform this search on from the list Library Groups presented at 8.  Right-clicking in this section allows users to Check All or Uncheck All.  Each time a library group is checked or unchecked, the list of fields available at 9 is modified. 

3.  The list of fields that belong to the selected library groups can be found in the section Fields at 9.  For any search terms you would like to search on, double-click on that field or drag it to the area Search Details at 10.

4.  Each search term entered into the Search Details section has a comparer and a value.  The comparer allows you to specify the nature of the relationship between the field and the value.  For a full list of all the comparers, see the section Document Search Criteria. 

5.  When more than one search criteria is used in a search, we can combine the results by using a Boolean Joiner.  The four types of Boolean Joiner are AndOrGroup AndGroup Or.  A description of each of these joiners is available in the section Document Search Criteria.

6.  Once the list of search criteria has been finalised, click on Search at 11 to perform the Search.  The Advanced Search Screen will disappear and the results of the search immediately displayed in the Display Pane at 6.

7.  The documents in the Display Pane can be viewed and used in a number of ways and their contents previewed in the Preview Pane at 7 where applicable.

Document Text

In addition to the fields that are defined for library groups, it is possible to search for words appearing in the text of documents.  This text can be found in files of many formats, including spreadsheets, email and PDFs.  The text can be in the document itself or in attachments to the document if it is an email message.  Documents that match the search term(s) in text will appear as results of a simple search and the field Document Text is available for all criteria searches.

The field value is within the next calendar month.
